Why we use it, and our legal basis
- To provide what you buy (set up and run your hosting, email and domains, take payment, send invoices, renewal reminders and notices about price changes, give support). Legal basis: contract.
- To answer enquiries before you buy. Legal basis: legitimate interests (replying to you).
- To keep services secure (spotting abuse, attacks and fraud). Legal basis: legitimate interests.
- To meet legal duties such as keeping accounting records and registering domain names. Legal basis: legal obligation.
- To send occasional news or offers only if you have agreed or are an existing customer, with an unsubscribe link in every email. Legal basis: consent or legitimate interests.
Who we share it with
We do not sell your information. We only share it with companies that help us run the service, under contracts that protect it:
- 20i Ltd (UK): our hosting platform, control panel, shop, billing and email systems.
- Stripe: card and wallet payments.
- Domain registries such as Nominet (.uk) and others, which by law need the registrant's details for each domain.
- Trustpilot: we link to Trustpilot so customers can leave a review. Nothing is loaded from Trustpilot until you click the link. If you write a review, Trustpilot handles it under its own privacy policy.
- Ecologi: we plant a tree for each new customer. We do not send them your personal details.
- Professional advisers, and the police or regulators where the law requires it.
Your hosting and email data are stored in UK data centres. Some suppliers (for example Stripe) may process data outside the UK; where they do, they use legal safeguards approved under UK law.
How long we keep it
- Account and billing records: for 6 years after your last purchase, as UK tax law requires.
- Website content and email on our servers: deleted within 30 days after your service ends (backups are kept for up to 30 days).
- Enquiries from people who don't become customers: up to 12 months.
- Server logs: up to 90 days.
Cookies
Our website uses only the cookies it needs to work, such as remembering your choices and keeping you signed in to the shop and control panel at cp.hostdingo.co.uk. We do not use advertising cookies. If we add analytics in future we will update this policy and ask for your consent first where the law requires it.
Your rights
You can ask us to give you a copy of your information, correct it, delete it, restrict or object to how we use it, or send it to you in a portable format. Email support@hostdingo.co.uk and we will reply within one month. Some information (for example invoices) we must keep by law.
If you are unhappy with how we handle your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Your own customers' data
If you host a website or email with us that collects other people's data, you are the controller of that data and we process it for you only to provide the hosting. Our terms cover this.
Changes
If we change this policy we will update the date at the top. If a change matters, we will email customers before it applies.
